Account Limits for Formstack Forms


Formstack Plans have different limits you should be aware of. These include limits to how many Forms, Themes, Submissions, and Users an account has access to. This support resource will explain how each limit works and how to resolve each one. To get a quick snapshot of your account status, visit the Status page on your Admin account.


Forms

Each account has a limit to how many forms users can create. Once your account hits this limit forms can no longer be created. Forms in the 'Archived' folder count toward this limit.

 

How to Resolve:

  • Delete forms to make room for new forms you'd like to create(It’s important to note that deleted forms will appear in a deleted folder and will be hard deleted after 7 days. It’s possible to request a sooner date by contacting our support team and verifying your account, this change is irreversible once completed)
  • Reuse forms you don't use any longer
  • Upgrade to the next plan level to gain more forms
     

Submissions

Submissions are counted per Form.  For example, if you are on the Starter plan, this will allow for 1,000 Submissions to be stored in that form's database at any given moment.



If you do get close to your limit, you will receive an email notification warning you that you are approaching your submission limit and you will receive another warning email once you hit that limit. You'll also see an alert on your Formstack dashboard.

Any submissions sent in after you exceed your submission limit will not be lost, rather they will be emailed to you instead of being stored in the Formstack database and integrations will continue to run when the form is submitted. A link to upgrade your account and delete your submissions will be provided when you’ve hit this limit. If you have a custom agreement and have a dedicated account executive, you can request a customized report detailing your submission limit. 

How to Resolve:

  • Delete submissions from the affected form to make room for more
  • Upgrade to the next plan level to increase the form's submission capacity


Themes

Each account has a limit to the number of custom themes that can be created. This does not include the stock themes that come with your Formstack account.



Once you hit your theme limit you will not be able to create a new theme or copy an existing theme. 
 

How to Resolve:

• Delete a theme that's no longer in use

• Upgrade to the next plan level to increase the number of themes you can create

 

Users

Each account entitles you to a certain number of users. Users can build, manage, and update forms and submissions in your account. 


To view your account usage, select your name from the top right and then select the account usage option.



Once you hit the user limit you will not be able to add more users to your account.

 

How to Resolve:

• Starter, Teams or Pro plans: Upgrade to the next plan level to increase the number of users

• Certain plans will have the ability to purchase users on an a la carte basis. Please contact your sales representative  for more details.

 

File Upload Storage

Formstack accounts have a limit to the number of file uploads collected in submissions. 



Before an account exceeds its file storage limit, Formstack sends a proactive email to the Account Owner and Admins to inform them that the limit is near and that action will need to be taken. However, once you reach the data storage limit, the upload prompt will be disabled on the Form. You will receive an email from us when you are nearing the limit.

 

How to Resolve:

  • Delete submissions with existing file uploads from the Submission tab of your forms
  • Use one of our file upload integrations (Box, Dropbox, Google Drive, AWS) to collect file uploads off-site and expand your storage.
  • Upgrade to the next plan level to increase available file upload storage
  • Note: Deleting submissions will only soft-delete the data so it will stay on your account for 7 days and will not free up space immediately. If in need of space quickly, please contact support to hard-delete the submissions to free up space right away.


When contacting support for hard deletions please provide a copy of the links to the forms where the submissions were deleted. Below are instructions on how to identify the information that support will need to accommodate your request. 


  • From your Dashboard click on the necessary form
  • Click  Settings in the top right corner
  • Copy the form URL to provide to support


*This should be done for each submission you wish to have hard deleted.

Going from a Trial to a Paid Account


Create signup forms, surveys, order forms, event registrations, and more with a Formstack 14-day free trial account!   
 

At any point during your 14-day trial period, you can upgrade from Trial to a Paid plan by changing the billing plan on the Billing page in your account.  Once you have entered your payment information, your Trial period will end, the account payment will be processed immediately, and kickoff your recurring paid subscription!
 

Payments will continue until cancellation in accordance with the Formstack Cancellation Procedure.
 

 Note: If you created your account on or after January 11, 2022, you may see a different billing experience. Please review the Unified Billing FAQ for more information.
 

To move to a paid plan, please follow these steps:

  • Log into your Formstack Account and click here or navigate to the Profile icon (upper-right) and the "Billing" option.
  • View the Plan options available on this page and scroll to the bottom to click "Enter Billing Info" under the Plan Column of your choosing.
  • Select your Billing Frequency, Monthly or Yearly.
  • Proceed to fill in your Payment and Personal Information under the provided Fields.
  • If you have a Promo or Referral Code, enter this in the "Referral Code" Field and click the "Apply" button.
  • Once your information has been entered, click the "Submit" button to process your payment.

 

What happens after you pay?

 

Your payment invoice will be automatically generated, emailed to you, and also saved to your Formstack Account under Billing > Invoices.



Form Activation


Are you building a form but you're not ready to share it with the world yet? No worries! Formstack forms now have the ability to be turned on or off manually using the new Form Activation feature.
 

To access this feature, go to Settings, then General. In General, go to Form Status. Under Form Status, select Conditional in the drop-down. You'll then see a screen that looks like this:
 

 

To manually enable your form, edit the Activation Schedule settings by toggling on the "Enable Form on" option. Next, select the date and time you'd like your form to go live. You may edit this setting as often as you like until you're ready to publish your form for live view.
 

When the Conditional status is selected, you'll see several other settings besides Activation Schedule; Disable Settings, Disable Message, Disable Hosted Form, and Time Zone for Submissions. 
 

With Disable Settings, you have the option to disable your form after a set amount of submissions, after your inventory sells out, or both. This option is perfect if you're running a limited-entry promotion or if you're selling a set amount of inventory. 
 

You can then add a custom message to be displayed when you're disabled form is accessed by toggling on the Disable Message option. 
 

If you only want the embedded version of your form to be visible, toggle on the Disable Hosted Form option.

Note
Save and Resume functionality will not work while a form is disabled.


Don't forget to check the time zone under Time Zone for Submissions and make sure it matches the correct time zone you want to be displayed in your submissions.   
 


 Besides Conditional, there are two other Form Status; Enabled and Archived. 

 

Enabled 


When a form is set as Enabled, you will only see two setting options; Disable Hosted Form and Time Zone for Submissions.
 

This setting is perfect if you just want your form to go live indefinitely.

 

 

 

Archived
 

When a form is set as Archived, it will no longer be available for public viewing.
 

In this setting, you have the option to add a custom message. You can use it to let your users know why the form was deactivated and what they need to do next.
 


The Form Activation feature is accessible no matter what version your form is. This feature is also available on every plan level.
