Level up your projects with the customize menu
Modified on Fri, 12 Jul at 2:48 PM
This article covers how to customize your projects from view options, to forms, rules, and custom fields.
Where to find the customize menu
The customize menu is always found in the top-right corner of a project or My tasks.
Customize menu in projects
The customize menu is in the top-right corner of each project. Click Customize to open the menu and view options, such as forms, rules, and custom fields, to take your project to the next level.
Customize menu in My tasks
Find the customize menu at the top-right of your My tasks, too. My tasks isn’t a project per se, but the customize menu offers ways to optimize your My tasks. From the customize menu, you can add custom fields, rules, and integrations to My tasks.
Automating your work
Use the customize menu to add rules, bundles, custom fields, and more to your project.
Rules
To automate your work, click Customize and select + Add rule from the list. By defining triggers and actions, you can rely on rules to handle routine tasks or add movement to your workflow without manual intervention. Asana offers preset rules to get you started and the ability to build your own custom rules when you’re ready to add a little more complexity.
For more on rules, visit our rules article or check out our rules integrations and widgets article for more information on integrating third-party apps into your workflow.
Bundles
If you want to standardize workflows across your team, click Customize and select + Add bundle from the list. Bundles allow you to use your fine-tuned workflow across many projects simultaneously without having to create the workflow from scratch each time. As well as that, editing the bundle means that the changes will be reflected in every project using that bundle.
Bundles are the best way to standardize a workflow among your team or across your entire organization. For detailed information, see our article on bundles.
Using custom fields to organize your work
Use custom fields to add additional data to each task and even report on tasks based on custom field values. To add a custom field to a project, click Customize and select + Add field from the list.
Select from a wide variety of field types: numerical, text fields, date, and people fields (distinct from due date and assignee fields), and even time tracking. You can also limit the use of the custom field to one project or add it to your organization’s field library to enable its use across multiple projects - this allows you to standardize information in tasks in projects across your organization.
Use multi-select custom fields to furnish tasks with exhaustive levels of detail by adding numerous values simultaneously. A multi-select custom field still represents one field, but you can add multiple values to the task.
On the other hand, custom fields let you simply color-code tasks in timeline view when you need a macro view of the situation. In timeline view, click Color in the top-right corner, and choose a custom field from the list. Tasks on the timeline will display the color of the custom field you’ve chosen to get a zoomed-out view of tasks by priority, department, or any other field.
Integrate Asana into your tool stack
Integrate communication tools
No matter how your team communicates, you can still ensure that work gets captured in Asana so it doesn’t fall through the cracks.
If your team uses email the most, consider using Asana’s Gmail or Outlook integrations to ensure vital communication becomes actionable tasks with due dates and context–all without leaving your email inbox.
Organizations that use Slack, Zoom, and Microsoft Teams to communicate can also rely on integrations to gather the most important information from conversations and channels, turning them into to-dos and ensuring accountability.
Click Customize, then select + Add app to get started.
Streamline workflows by connecting external tools
If your teams use tools like GitHub, Salesforce, or Tableau, you’ll know that it’s vital to get work into Asana so you can collaborate with cross-functional teams. Visit Asana’s app directory for a complete list of third-party tools, and check out our article on rules integrations and widgets to see how external apps can form an integral part of your workflow.
Save time with task templates
Task templates allow you to create standardized tasks from a template, saving you and your team a lot of time and amplifying the effectiveness of your project’s rules, bundles, and overall workflow.
Standardizing how tasks are created in a project means that everything from assignees to custom fields and relative due dates can be handled with minimal effort. You can even incorporate dependencies and subtasks to add another level of sophistication to your workflow without the complexity of creating a task from scratch each time.
